The Trailwood Gators Swim Team is led by a dedicated board of volunteer parents whose countless hours of service help make our team what it is today. For more than 50 years, the Gators have thrived because of the commitment, leadership, and support of families willing to give their time and talents. A successful swim season truly takes a team effort, and we are incredibly grateful for all who contribute.

While we are still enjoying this season, it is already time to begin planning for next year. Several valued board members who have faithfully served in their roles are ready to pass the torch to new volunteers. We are currently seeking individuals interested in serving in the following positions for the upcoming season:

Computer Manager

Current Board Member: Nora Dethloff

The Computer Manager oversees the swim team’s computer systems and meet management software throughout the season. Responsibilities include:

• Setting up and maintaining the SwimTopia system for team events and meets
• Coordinating with coaches regarding meet entries, RSVPs, and event deadlines
• Communicating with opposing teams to merge meet entries
• Creating meet events and entries for all home meets
• Generating and distributing heat sheets through Swimtopia
• Managing the meet computer and results system during home meets
• Importing and exporting meet data, troubleshooting technical issues, and distributing final results
• Printing meet documents such as timer sheets, relay sheets, and results
• Serving as the primary contact with the SwimTopia Help Desk

We are interested in making this a two-person role to help share responsibilities.

Event Coordinator

Current Board Member: Heather Simmons

The Event Coordinator plans and oversees team events throughout the season, including:

• Pep rallies
• Breakfast of Champions
• Progressive Dinner
• Invitational Dinner
• End-of-Season Awards Party
• Other team gatherings and celebrations

Responsibilities include event planning, coordinating with coaches and families, reserving venues, communicating event details, and tracking RSVPs.

Head of Concessions

Current Board Members: Debi Sumrall & Ashley Brimmage

The Head of Concessions oversees concession operations during swim meets and team events. Responsibilities include:

• Coordinating concession coverage during events
• Ordering and purchasing food, beverages, and supplies
• Managing concession inventory
• Assisting with setup and breakdown of concession equipment

This position may be filled by one or two volunteers.
