Gator Families,

We hope you've been enjoying a fun and relaxing summer after an amazing swim season and are getting ready for a great school year!

As we begin planning for the 2027 season, we are looking for a few volunteers to join the Trailwood Gators Board. We currently have two important positions available: Computer Manager and Head of Concessions. Both roles are essential to the success of our swim team, and we're hoping to split each position between two people to make the responsibilities more manageable. If you've ever considered getting more involved, this is a great opportunity and we'd love for you to recruit a friend to serve alongside you!

Computer Manager

Previous Board Member: Nora Dethloff

The Computer Manager oversees the team's meet management software and computer operations throughout the season. Responsibilities include:

• Setting up and maintaining SwimTopia for team events and meets
• Coordinating with coaches on meet entries, RSVPs, and deadlines
• Working with opposing teams to merge meet entries
• Creating meet events and entries for all home meets
• Generating and distributing heat sheets
• Operating the meet computer and results system during home meets
• Importing and exporting meet data, troubleshooting technical issues, and distributing final results
• Printing timer sheets, relay sheets, meet results, and other meet documents
• Serving as the primary contact with the SwimTopia Help Desk

We plan to divide this role between two volunteers to help share the workload.

Head of Concessions

Previous Board Members: Debi Sumrall & Ashley Brimmage

The Head of Concessions coordinates concession operations for home meets and team events. Responsibilities include:

• Organizing concession volunteer coverage
• Ordering and purchasing food, beverages, and supplies
• Managing concession inventory
• Coordinating concession setup and breakdown
• Overseeing concession operations during home meets

This position may also be shared by two volunteers.

Serving on the Gator Board is a wonderful way to support our swimmers, meet other families, and help make our season a success. We have great documentation from previous board members, and you'll have support as you learn the role.
